Company Terms and Conditions
1. Who We Are
S. T. International Tourist Agency LLP trading as STITA Tours and Pathfinders ("we", "us", "our"), is a UK based tour operator specialising in escorted tours and tailor made tour programmes for private groups and independent travellers (FITs).

2. Your Contract With Us
A contract is formed when we issue a written booking confirmation, usually by email.
The person making the booking ("the lead name") confirms they are authorised to accept these Terms and Conditions on behalf of all persons named on the booking.
Where your arrangements include two or more travel services (for example accommodation and transport), your booking will usually be classed as a Package under the Package Travel and Linked Travel Arrangements Regulations 2018 (PTRs).

3. Your Responsibility for Information
You are responsible for ensuring that:
• Passenger names exactly match passports
• Contact details are accurate
• Any medical conditions, mobility needs, or special requirements are declared at the time of booking
Incorrect or late information may result in additional charges or inability to travel.

4. Prices and Inclusions
Your confirmed price includes the services described in your itinerary or booking confirmation.
Prices are based on:
• Supplier costs
• Taxes and charges
• Exchange rates at the date of confirmation
For FIT and tailor made bookings, inclusions may vary according to the agreed programme.

5. Payments
Unless otherwise stated:
• Deposit: payable at the time of booking (amount shown on confirmation)
• Final balance: payable no later than 60 days before departure
If payment is not received by the due date, we reserve the right to cancel your booking.

6. Price Changes After Booking
We may change the price after confirmation only if the change is a direct result of:
• Changes in transport fuel costs
• Changes in taxes or fees imposed by third parties
• Changes in exchange rates
Any increase will be notified no later than 20 days before departure.
If the increase exceeds 8% of the total tour price, you may cancel the booking without charge and receive a full refund.

7. Changes Requested by You
If you request changes after booking:
• We will try to accommodate them where possible
• Changes are subject to availability
• Administrative and supplier charges may apply once the final itinerary has been agreed between both parties and will depend on the request(s).
Name changes may be treated as cancellation and rebooking, depending on supplier conditions.

8. Cancellations by You
You may cancel your booking at any time by written notice (email accepted).
Cancellation charges apply based on the date we receive your notice and reflect costs incurred.
Indicative scale (unless otherwise stated):
• More than 120 days before departure: loss of deposit
• 120 - 61 days: 30% of total price
• 60 - 31 days: 50% of total price
• 30 days or less: 100% of total price
We strongly recommend comprehensive travel / cancellation insurance.

9. Minimum Numbers (Group Tours)
Some escorted group tours require a minimum number of participants.
If this is not reached, we may:
• Offer an alternative arrangement. Requote.
You will be advised as soon as reasonably possible.

10. Changes or Cancellation by Us
Most changes are minor. Occasionally, a significant change may be required due to circumstances beyond our control:
If this happens, you may:
• Accept the change
• Accept an alternative (if offered)
• Cancel with a full refund
We will not cancel a tour within 28 days of departure except for non payment or unavoidable and extraordinary circumstances.

11. Unavoidable and Extraordinary Circumstances (Force Majeure)
We are not liable for failure to perform or improper performance resulting from events beyond our control, including (but not limited to):
• Natural disasters
• War, terrorism, or civil unrest
• Epidemics or pandemics
• Government action or travel restrictions
• Industrial disputes or transport disruption
Supplier terms will apply in such cases.

12. Accommodation, Transport and Standards
Accommodation standards follow local classifications, not UK star ratings.
Please note:
• Single rooms may be smaller
• Historic properties may have limited accessibility and not provide air conditioning
• Special requests cannot be guaranteed unless confirmed in writing

13. Mobility and Accessibility
Our tours are designed for mobile and independent travellers.
Guests must be able to:
• Board and alight coaches without assistance
• Walk reasonable distances, often on uneven terrain
• Manage steps and staircases
Mobility scooters and non folding wheelchairs cannot usually be accommodated.
If assistance is required, you must travel with a capable companion.

14. Passports, Visas, Health and Travel
You are responsible for ensuring that:
• You hold a valid passport
• You obtain any required visas
• You meet health and entry requirements
We cannot accept responsibility if travel is denied due to documentation issues.
You are responsible for reviewing up-to-date travel advice issued by the UK Foreign, Commonwealth & Development Office (FCDO) prior to and during travel - https://www.gov.uk/foreign-travel-advice

15. Travel Insurance
We strongly recommend comprehensive travel insurance covering:
• Cancellation and curtailment
• Medical expenses
• Personal belongings

16. Behaviour
If a traveller's behaviour is disruptive, unsafe, or distressing to others, we reserve the right to terminate their participation without refund.

17. Complaints
Any issues should be reported immediately to the tour manager or local representative.
If unresolved, written complaints must be submitted within 28 days of return.

18. Our Responsibility
We are responsible for providing the services included in your booking with reasonable skill and care.
We are not liable for:
• Acts of third parties unconnected with the provision of services
• Events we could not foresee or prevent
• Losses not directly attributable to us
Our liability is limited in accordance with the Package Travel Regulations.

19. Financial Protection
Where your booking constitutes a Package, financial protection is provided in accordance with UK law, ensuring refunds and repatriation in the event of our insolvency.

21. Governing Law and Dispute Resolution
This contract is governed by the laws of England and Wales.

22. Acceptance
